I use RMail to send encrypted emails with my company Gmail account.

Pros

  • Secures email in a way that is not annoying to recipients.
  • Converts attachments to pdf
  • Provides proof of sending
  • Provides proof of receipt

Cons

  • Some Gmail add ons/extensions don't work with RMail.
  • I'm not sure it can be integrated with gmail without Chrome or Outlook.
  • More features would be cool.

Likelihood to Recommend

RMail is great for sending emails with information that is sensitive but that the recipient is not going to put a lot of work into retrieving. I do psychological evaluations for criminal courts and I use it to send reports to courts and attorneys. I need to use something compatible with HIPAA privacy rules, which courts and attorneys are typically not as concerned about. If they had to use a password or go to an outside web address to retrieve the email, they wouldn't do it. It's also common for an attorney to say they didn't get an email, but I always know if they did or not, and I have clear documentation of it, which is important in legal cases.

We use RMail in situations which involve sensitive information such as patients´ medical records, or even internal use. We mainly use RMail to secure our communications, and also to be certain that these emails are being delivered and opened.

RMail - Essential E-mail Tracking for Attorneys and Others Needing Proof of Electronic Delivery

I use RMail in situations where a typical e-mail will simply be insufficient. Examples of such situations include where I need to confirm that a specific document, a notice of a deadline, other notice, or other legally sensitive information was received by one or more recipients, and in certain exceptional cases, that a specific e-mail was delivered and opened by specific times. Essentially, I use it as an advanced e-mail tracker.

Pros

  • E-mail tracking.
  • Providing a detailed record of receipt.
  • Providing digital timestamps as to when messages are sent.
  • Recording responses/replies to certain e-mails.

Cons

  • Program plug-in crashes on occasion.
  • Issues can arise if your computer's clock is not synced to RMail's time servers.
  • Setup was initially tedious (but has gotten much better since 2019).

Likelihood to Recommend

The best scenario for when RMail is appropriate occurs when you wish to protect against someone claiming that he/she never received an important e-mail and/or important attachments. A variant of this is where you wish to establish that someone is "ghosting" you or simply has chosen not to respond when he/she should be responding. A situation where RMail is less appropriate occurs when you wish to send a simple, friendly e-mail to someone who is expecting a response. Here, using RMail is overkill.

We use RMail internally and for our clients. We are a managed service provider to dentists, who have to abide by HIPAA regulations. RMail is the way we prefer to send encrypted email compliantly and securely. It's very easy to use, since it plugs into Outlook or Gmail through Chrome, and it works in all of our dental practices, as well as for our own internal use.

Pros

  • Read receipts tell you the time a message was actually opened
  • The electronic signature feature is nice, and usually not included with these types of services
  • Many times, a recipient doesn't need a password to open their email. RMail leverages TLS technology in most cases
  • Recipients do have the option of creating an account, but generally they don't need to
  • Outlook integration is very easy to set up
  • Gmail integration within Chrome is pretty amazing

Cons

  • I think the support is a little impersonal. You never get a name, it's always signed "Rpost Support"
  • Sometimes RMail doesn't work with third party apps that utilize Outlook to send messages.

Likelihood to Recommend

RMail is perfect if you are looking for HIPAA complaint way to send patient information securely. The tracking of each message is required by HIPAA, and it is also supplied by RMail. Also, you can submit an email for electronic signature, which saves a ton of time waiting for snail-mail. Our clients tend to love RMail, because they're usually changing from something else that ends up generating a lot of calls from people who can't open their emails - RMail solves this by utilizing the TLS technology

Great service for important or legal messages

Pros

  • Have used it in legal matters where proof of email receipt was important.
  • It catches recipients' attention. They seem to know that they're on the spot.
  • Very easy to use. Requires no special software. Can use with any email programs.

Cons

  • RPost is integrated into leading corporate enterprise email systems but not into ordinary email client software. I would like to see it integrated into my email client (which has less than 2% of the email software market). But it's still easy to use otherwise, so this is a minor point.
  • RPost, as I understand it, keeps no records of one's emails or deliveries. So it's up to me to keep the records (emails sent and received). This isn't a problem for me, but it might be for some people.

Likelihood to Recommend

It's a very easy system to use without any special software. However, it's worthwhile taking the time to understand the RPost system so that you don't make mistakes, such as not getting and not archiving your RPost verifications. In addition, if you use an enterprise email system, you may find that RPost is already integrated into it.

RPost works well for situations where you would send registered mail, that is, important or legal communications. Since it is considerably less trouble than sending registered mail, one is inclined to use it more often. For instance, for certain transactions you might want to send every email via RPost instead of just the most crucial emails.
