Use Cases and Deployment Scope

Our fully remote company uses OKTA as our multi-factor authentication system. To access all the apps and programs I need for my role, I sign into OKTA on my laptop, then confirm my login on my phone. This enables single sign-on to access our company's data.

Pros

Ease of use- good user interface both on a desktop and on the mobile application.
The security works well for our company, offering a centralized authentication.
Single sign on efficiency prevents password fatigue.

Cons

I do have to reset my password quite frequently. However, I don't think there is really a way to improve this, as it's a good security measure.
It makes me re-sign in a couple of times a day, sometimes if I haven't used my laptop for a couple of hours, and sometimes just randomly throughout the day.
It doesn't remember my devices, either my laptop or phone. so it always calls that out.

I enjoy using Okta; it is simple and reliable. They have great customer support if there are ever issues. It is low-maintenance and stable.

At Nielsen, Okta is used for multiple purposes. Some are outlined below:

- SSO for our external clients and internal teams

- Offboarding and Onboarding of all team members and their lifecycle

- Providing access to employees for all tools

- MFA for our UI Portals

- Managing all the tools catalog and Help centre

Pros

SSO - It provides Single Sign on that leaves the worry of authentical and authorization implementation from Dev to Okta
MFA - Google Auth based , SMS based and Email based MFA
Offboarding and Onboarding devs and team members
Tools catalog on one page so that devs dont have to go to multiple places

Cons

Okta is a Single Point of Failure. If Okta goes down , all portals goes down. So there should be some sort of last cached data setup
Initial config might be difficult for some organizations so you need dedicated support
Reporting tools are a bit messy

User Productivity: Eliminates "password fatigue" by reducing the number of passwords users need to remember.Integration capabilities: The Okta Integration Network (OIN) has almost 5,000+ pre-built integrations, making it easy to connect new software listed on their platform.

Use Cases and Deployment Scope

We use Okta for access to our network, programs and extranet. Okta provides very easy to use security to authenticate the user, and is always fast, effective and efficient. I like that there are multiple ways to authenticate access for the network and our programs.

Pros

Okta utilizes SSO very effectively and efficiently
The Multi-factor MFA process is easy to use and adaptive
Okta is very consistent and reliable

Cons

I don't use the reporting feature as much, but there is limited out-of-the-box reporting and analytics
This is minor, but there is occasional latency and login performance variability
To be able to offer more flexible pricing at scale

Likelihood to Recommend

Okta would be well suited for mid-scale to larger companies. It would also be well suited for companies with frequent onboarding/offboarding, due to high employee turnover.

Being in a SaaS organisation, it is critical to have a safe and secure Access Management solution. Okta successfully achieves the goal of securely managing authorizations and authentication across applications. It also tracks employees working outside the designated work location using multifactor authentication.

Cons

Lack of multiple app integration due to complex workflow.
Documentation on how to use the platform at its best.
Costs increase quickly as the organization expands.

Likelihood to Recommend

Should be well-suited for a SaaS business organisation as they have a lot of internal applications and need a role-based authentication system between the various teams, improving security and audit log system to account for any breaches. It integrates well with internal applications such as Salesforce and Oracle. Best when need of SSO.

We use Okta to login in multiple platforms, allowing the employees to switch from one platform to another without the need to do a multi-factor-authentication more than once. Also, we ensure our clients security with a platform that is trusted so we don't have any data leaking. Also, Okta is very useful to centralize all the apps and platforms each team needs to use.

Pros

Centralize all the apps and platforms to one access only
Secure the access to the platforms for hybrid and remote companies like mine
Has a very strong protection, always verifying first, never trusting the device

Cons

Although it's nice that Okta don't trust any device, it would be nice to have a more detailed verification in this case as sometimes Okta can log the advisor off in the middle of the platform use.
Okta could be easier to set. It's very complicated for the admins
It could have a report iniside the tool, without the need to export it to another tool

Likelihood to Recommend

Although Okta has some room for improvement, it's the best and most reliable option available in my opinion. I always used it, in other companies as well. It suits the best for hybrid and remote work, has a good multi factor authentication and gets access to other tools intantly after the verification process is complete, allowing a shorter pre-shift time for employees

We use Okta (and Okta Verify) as our primary 2-factor authentication across a vast majority of our applications - from our HRIS, Microsoft accounts, SharePoint, Citrix, and beyond, our organization trusts Okta as a trustworthy 'gatekeeper'. It's usage has evolved, as we most recently have to put in a number matching our screen to proceed - which is an extra layer of verification on top of needing the phone itself. With my administrator duties, I frequent our Okta Dashboard quite often, and a middle-man to support with Okta issues at a lowlevel, and coordinating with appropriate Okta designated IT contacts for account changes.

Mandatory prompt to set up security passwords at account activation
Guides/support on login page
Accurate and easier to find alternate login methods (sometimes it's a loop of clicking "log in another way" and another way is not presented.

Easier to request detail updates (job title, manager, etc.) within Okta Dashboard/Admin Console to higher contacts, if relevant

Likelihood to Recommend

I haven't come across a more simultaneously user-friendly and highly secure authenticator in my time in tech/admin. Even the least tech-savvy folks I've engaged with/onboarded can easily pick up Okta easily the first time - even initial setup. When it comes to the slightly more 'complicated' actions for these folks, the dashboard/settings are still so clean and easy to navigate both via screenshots/guiding and self-navigation that it's no problem.

For our company Okta is a great choice for Single Sign-On (SSO), Multi-Factor Authentication (MFA) as we use mostly modern applications that are compatible w/ Okta. We use it for securing access for employees and contractors. I'm aware of some companies that still have legacy applications that are not supported by Okta.
