Use Cases and Deployment Scope

I’m using it to create workflows and automate my fundraising outreach. I really like how they stay up to date by integrating AI solutions into their platform, with a wide variety of options. There are also many tools you can use to build or generate AI-powered workflows. I’m using it for fundraising: I have a Google Sheet, and I want to send a personalized email to each contact.

Pros

Workflow automation without heavy coding.
Easy to create approvals chains with rules.
You can collect data via forms and immediately run automated workflows on top of it.

Cons

More templates.
Error visibility should be clearer.
no limits for datasets, even larger data are accepted.
More onboarding tutorial.

Likelihood to Recommend

We use Nintex to automate fundraising outreach at scale. It helps us send personalized emails to a large contact list, and we’d also like to automate follow-ups when there’s no reply.

If you need highly customized solutions or clean, fully controllable code, I wouldn’t recommend Nintex. It has many features, but it’s not the same as building your own system from scratch. That said, it can save a lot of time for standard automation workflows.

Use Cases and Deployment Scope

We are using the docgen api to enable our customers to use a document automation workflow. Our customers are lawyers from various law firms in the U.S., and they are heavily involved with generating new documents in their daily lives. Using our Clio’s vast data within the law firm and using Nintex’s docgen api, we’ve been able to let the lawyers create automated docgen in different file extensions

Docgen api maintainability is quite low priority than other features.
Performance could see some improvements.
Giving more descriptive error messages for api users could be handy for developers.

Nintex does a nice job enabling document automation workflow quite fast and nicely. However, the security part of the api is always in question. Nintex uses the third-party docgen api itself, which could pose a client data sensitivity breach. Hopefully, the developers get more clarity on how the team is handling the PII in the near future

My organization uses Nintex to map business processes and improve them. This addresses the business problem of incomplete documentation and helps with transitioning responsibilities when people switch roles or a new person joins the organization. For the scope of our use of Process Manager, we try to focus mainly on interdepartmental processes, as Process Manager is designed for these.

Pros

Automatically generates swimlane diagrams for processes with multiple actors.
Provides automatic reminders to review process documentation on a predetermined schedule.
Allows for the easy transfer of all processes attached to a specific user, facilitating easy reassignment.

Cons

If you are creating a process with parallel subprocesses, there's no way to see, in a single view in Nintex, all the steps for the subprocesses. You have to view each sub-process in its own view, so it's hard to see what's going on at a high level.
There isn't an easy way to filter the processes by another user (not yourself) in Nintex. There is a report that shows processes and objects by user, but that's not as convenient. This is something that I've seen in other tools (OpenPages by IBM) so I am surprised that it is missing.
Nintex doesn't really have a way to capture iterative processes (which we have a lot of). It's designed for linear processes.

Likelihood to Recommend

Nintex works well for linear processes that have multiple players. It's helpful to capture the triggers for why a process begins and the outputs it creates. It does have a way to link subprocesses. It's not as helpful for processes that are done by a single user (SOPs seem to work better for this) or iterative processes.

We use Nintex Forms and Workflows in our on-premise SharePoint environment. It has helped unlock additional capabilities that the out-of-the-box workflow features in SharePoint simply does not have. It helps with our approval process, allows us to create complex workflows, allows us to create user-friendly forms, and the entire company can benefit from these enhancements. The user-friendly and visual nature of the workflow and form designers allows even users with minimal SharePoint knowledge the ability to create complex workflows to meet their needs.

Pros

LazyApproval emails in workflows allow users the ability to approve actions via email.
Unlocks additional workflow features that are severely lacking or missing in the OOTB version SharePoint.
Workflow Designer is very good at giving users a visual representation of their workflows. It is very user-friendly.
Customer service is very good. The turnaround time is fast and they are knowledgeable and offer detailed solutions.

Cons

Software updates are sometimes problematic. Their updater does not work well in our environment and therefore we need to manually remove everything and re-install.
Updates to their software seems to occur quarterly therefore your SharePoint server updates become outdated while you wait for Nintex to update their software to work with the latest CUs from Microsoft.

Likelihood to Recommend

Nintex has been great in an on-premise SharePoint environment. We assume it would be equally as good in the cloud. Nintex has been crutial to our business as users are able to approve workflows on their mobile devices through LazyApprovals without needing to access SharePoint on their phone or go to a computer. The user-friendly and visual nature of the workflow and form designers allows even users with minimal SharePoint knowledge the ability to create complex workflows and design custom forms to meet their needs.

Our company uses Nintex as a platform for intake forms and workflow automations to increase efficiency and tracking across multiple departments within our organization, primarily in our SharePoint environment. With dynamic controls, the ability to create and recall variables from different sources, and rules to perform unique functionality, it is far superior to the default SharePoint list form.

Allows unique low-code functionality where needed.

Cons

Ability to insert form variables from the designer tab.
Possibly create features in responsive forms similar to app components.

Likelihood to Recommend

Nintex is well-suited for our SharePoint lists as it provides a more user-friendly intake form and has the look and feel of a professional form based on standard practices within our department. It is not currently able to be used in document libraries, so I believe that if it could be in the future, there would be a place to attach documents and then have additional fields for inputting metadata into columns in the library.

We love using the software for building bots and automating various processes. Thanks to this software, we have saved hundreds of hours every day! We have numerous repetitive tasks in our operations, compliance, and IT departments, which run on a daily, weekly, and monthly basis. Without the RPA bot software, we would be significantly behind schedule. We were able to downsize or not backfill jobs that were lost because we could automate certain tasks, allowing others to absorb the workload. Plus, there is a community where you can get advice on fixing issues with your bot software. If you get stuck again, simply use the select tool to point to exactly what you are trying to grab. Again, it is super helpful, and it saves time and resources, allowing us to more effectively focus on our work. We don't have to waste time gathering data. We can make quick decisions and then use the saved time to increase our workload. I can not recommend this enough. I love the software and hope my work never gets rid of it.

The onboarding support that won me over with Promapp/process manager is much less effective.
I have not been contacted by anyone from Nintex about how Promapp is going.
We actually need support/advice, but I'm not sure who to contact.
The value for money is diminishing.

I cannot find reasons why I need to hold the same opinion I had when Promapp was adopted, but I am persevering and hope that something good could come out of this.

While my team doesn't currently use Nintex, I have direct experience with it from a comprehensive evaluation project I was involved in. My team were tasked with solving inefficiencies in our manual process for Control-M job requests. We identified Nintex as a potential low-code solution. Our proposed plan was to use Nintex Forms to capture job requests, with a workflow that would upload submitted forms to SharePoint and automatically create a task in our ITSM portal.

Pros

Nintex does well when it comes to creating user-friendly digital forms with little to no code. The forms can be designed with a drag-and-drop interface. Business logic and conditional fields can be added as well.
I also tried creating an automated workflow to send my team a reminder whenever an item in a Sharepoint list is expiring within the next 30 days. I'm not a programmer but I was able to create it within one hour.

Cons

My team needed to build a form with more than 10 different variations, each with its own specific business logic and conditional fields. We found that the existing built-in functions were quite limited in handling this level of complexity. We were either forced to create a very large, unwieldy form with numerous hidden fields and convoluted rules, or we had to look for a more custom, code-based solution, which defeated the purpose of using a low-code platform in the first place.
The document generation feature also presents a challenge, as it's often a costly add-on. Trying to use workarounds like Print to PDF usually messes up the formatting and makes the document unusable

Likelihood to Recommend

I think Nintex is great for automating simple, everyday business tasks. For example, it works well for approval processes such as getting approvals for vacation requests or signing off on expenses. Nintex can also replace paper forms digitizing things like new hire paperwork or surveys, making them easy to fill out or track.
