A tool to Organize Insights and Plan things

Use Cases and Deployment Scope

In our organization, we are helping our researcher to export the tagged notes, video clips, markers and transcript text created in our platform analysis space from moderated or unmoderated research to a Miro board with just one click.

All the insights created from the participant session are exported to Miro for further collaboration and improvements.

Cons

  • They only allow max 8 unique tags in one board
  • Limited cards color - should give option of custom colors
  • More detailed dev document

I mentioned earlier if you are a researcher then Miro is the best to organize your insights, even for your scrum retrospectives it is very good tool. And few people use it for sprint planning as well.

If you want to use more than 8 tags inside a board then it will disappoint you but i hope you can survive with 8 tags limitation

We use it to build data walls for projects: collect data, categorise it, find patterns and come up with ideas based on emerging patterns. We use it for brainstorming and workshops.

Pros

  • brainstorming
  • finding patterns in data
  • writing research reports

Cons

  • clustering is still very basic and not always so accurate
  • when using sidekicks, my instructions are often misinterpreted and the outcome is similar most of the time regardless of the prompt

Likelihood to Recommend

Starting a new project: dump all the data snippets you collect onto a Miro board, then use the AI features to cluster it, categorise and brainstorm next steps.

Ideation: use Miro to prepare workshops (use an existing template if relevant), use Miro engage to facilitate the workshop. After the workshop, use AI again to clean up the output of the session.

We use Miro a lot for process mapping initiatives and projects to better understand gaps and areas for improvement that can be addressed during the requirements-gathering stage. We also use it to manage the backlog of work; the latest kanban feature has been used a lot recently to track and update projects.

  • Templates for everything.
  • Visualisation of workflow and projects.

Cons

  • I have to actively manage frame sizes to fit the screen, and it is difficult to change more than one at once.
  • Having less freedom with board structure, they can get messy very quickly.
  • Board search function to find things.

Likelihood to Recommend

I have already helped a few people in the business utilise Miro for their functions to great success. One of the best uses is for team collaboration. In weekly meetings, we often open Miro to share how items are tracking and how they align with goals. Miro can be applied to most scenarios because of its functionality; it just takes some creativity from the user.

I use Miro creatively to build an office layout of our entire campus which includes 4 different buildings. This is helpful for new and tenured folks to get a better idea on where each department sits.

Pros

  • User friendly
  • Makes collaborating super easy
  • I like being able to share my board online

Cons

  • Being able to export the larger files without having to pay for a subscription
  • Better images to use ie: furniture
  • Being able to upload any type of file

I personally am the only one solely using Miro, it would be nice to have more premium features included in the free subscription

We use it to map out business use cases and talk about user flows. It was especially helpful in creating a cross-functional board for event storming, so that we could apply Domain-Driven Design. The problem it solves is having a single source of truth, and a unified view across many different stakeholder teams.

Pros

  • large open interface for adding a lot of ideas from many different users at the same time
  • pretty performant - rapid updates during the session without glitches
  • intuitive artifacts for sharing info - stickies are easy to create, arrange, group, connect, and label
  • sharing is easy, everyone with provisioned accounts can easily access a board through shared link

Cons

  • sometimes zooming and navigating around a large board is a little funky
  • cost, it because too expensive for our organization to use frequently and among all teams
  • easy integrations; rather than having a link in a jira ticket, being able to show a preview of the borad would have been great

Likelihood to Recommend

I find it intuitive and easy to use; many whiteboards overload with templates, instructions, and unnecessary items that I have to remove first. But Miro starts with a clean slate when I need it to, which feels more like a true whiteboard experience. It also responds relatively well to navigation around an open board; snappy UI performance is a must.

Miro has been our visual collaboration and whiteboard tool since 2018. The software has made it possible for us to organise meetings with our stake holders in construction industry such as engineers, architects, clients, technical teams and environmentalists. The software has also enabled us to brainstorm ideas and come up with practical solutions to deal with various challenges in our construction projects. Miro software allows us to properly review our construction designs as a team by enabling us to upload our construction drawings and create a room for exchange of ideas.

Pros

  • Miro makes it easy for us to organise different projects information and accelerate our various work processes.
  • The software promotes fast decisions making and increased productivity by allowing real-time collaboration and sharing.
  • Miro has incredible audio and video.

Cons

  • We often experience connectivity issues especially when our Internet connection is not steady.

I use Miro as a general whiteboard where I can draw flow charts, brainstorm with the team or document my thought process on various decisions I make about the product I'm working on, etc. We also use it as a mood board or inspiration board in our design process where the entire team can collaborate together at a single location.

Pros

  • Organizing stuff on Miro boards is really easy due to how objects align and snap relative to the other object on the board. I can live without this feature not working well.
  • AI integration has been working really well, sentence and grammar correction is excellent. I have been using this feature a lot, lately.
  • Ability to download the board as PDF is an incredible feature as well and seems to work well. I often use it to take backup of my work.
  • I LOVE that Miro has a native Mac app. I hate to work in browser so I always use the tool that comes in the form of native Mac apps. It's probably the biggest reason I use Miro. If it did not have native Mac app then I'd probably not it as much.
  • Tagging team members and commenting works really well. Can't live without that feature.

Cons

  • In my opinion, Miro is absolutely terrible in access management. I and my team ALWAYS face issue with access. It's not just how the feature work, the whole design of the feature is totally flawed and it's very frustrating when you give people access to the board but they still can't access it. The feature is very difficult to use and it doesn't work as expected. And many people in my team face this issue so they just use other tools such as FigJam or Apple Freeform which are much easier to use.
  • In my experience, the general design of Miro is difficult to use. Navigation is all over the place, menus are at multiple places, there are floating tools all over the place. Most of the people on my team struggle with Miro when it comes to general usability. They can not find what they need easily. And often times, tool on the board come in the way of content.
  • Miro automatically logs me out a lot which is frustrating. And then it has to open browser to be able log back in which is annoying. I'd love to stay logged in for several months unless I log out or I don't use the tool a long time.
  • For me, it's very annoying that lately, Miro has been automatically opening the left side panel when a board is launched. Don't like that experience since it affects my focus and feels annoying.

In my opinion, overall, Miro is very difficult to use and I think its access management feature totally sucks. I have already described in my previous comments what I think works well and and what not in Miro.

We use Miro as a way to visualize and present our work, similar to presentation software as well as communication to facilitate easier collaboration and approval with leadership. The business problems the product addresses is visualization, particularly complex topics like a decision tree or a decision making framework.

Pros

  • Visualization - visually compelling elements
  • Ease of use - easier to use other software like Figma

Cons

  • Products like Canva and Figma have even more complex functionality

Miro is well suited for building a visualization of a complex concept that sometimes presentation software can be limiting for, i.e. a decision tree. I'd use Miro to build a visual to share more complicated ideas, especially in a larger forum or presentation. I'd also use Miro for larger scale collaboration, like a brainstorm or during a dogfood session when we're trying to capture ideas from a bigger group of people

Miro is used in our organization as the tool to prepare and agree on Use Case roadmap or stakeholder mapping. When it comes to live demo or workshop, it provide a clear area to represent what has been discussed, offering the chance to combine boards within the same view. It's currently used by a team of +15 people.

  • UI is very clean
  • 2026 AI updates
  • Work well in demo

Cons

  • When board is complex, it lag visualization

Miro definitevely solve the use cases for which has been selected, document a roadmap, define stakeholder mapping. There is still room for improvement, as more capabilities have been added. On the flip side, I noticed it's not easy to get customer to use it, there is certain resistance to add another tool and another access.
