We use Insightly to keep track of our clients cases as they progress with us. The CRM software allows us to track emails and associated files, as well as separate cases before and after instruction through the "opportunity" and "project" features.

It helps us maintain each case and all of their associated files. The email tracking software automatically linking emails to the projects makes this much easier than manually adding them from our other file system. The task management could be easier to set up.

Each month we go to a group of customers who's subscription is due for renewal. Insightly lets us pull them by end date into an opportunity we create to then approach each customer.

We use Insightly for our Career Services Department which includes managing our student outreach, student academic records and placements, as well as, our employer outreach, job opportunities, leads, etc. We also use it for tracking our certifications and testing for students. We have six advisors and two other colleagues all of which use the system to track their outreach and document what they are doing on a day to day basis.

We have to do a lot of manual updates because we can only do filters on one type of record at a time unless we are looking at reports. It would be great if there was an ability to filter like we can on reports on fields in Insightly.
It would be great if there was more written documentation on creating validation rules because you currently only have videos and some of them the volume is to quiet which makes it hard to learn.
There is a limit of 8 filters per search but sometimes there is more that is needed.
There is also a limit to the amount of rules you are able to create on page views. We have 3 types of users in the system which has led us to only being able to make rules on pages for our advisors instead of for all of our users.

There are a lot of things Insightly is great with for Career Services but much of my job is updating things manually because Insightly doesn't have a way to help me manage the database the way we need to. We have multiple academic records per students but needed to have fields that are multiselect on our contacts. These are all manually updated which are very tedious and not the best for what we need it to be able to do.
As a non-profit, we rely on having the ability not only to store data in a meaningful and organized way but to be able to access it quickly.
We need to see who is using our services, who is donating, and what drives them to our organization. Insightly does this and is adaptable to our needs.

What is great about Insightly is not just the ability to create profiles that match our needs. We have been able to customize much of the database to our standards. Much of which we can do ourselves. The team at Insightly believes in empowering you and wants to see you succeed. They are patient and willing to work hand-in-hand to deliver a tool that you will be happy with.
I tried to use Insightly in my business, but after a year of trying (& $6K), I gave up. It was incredibly complicated and time-consuming, and I could not get the help I needed from their Customer Service team. I was misled into believing we could run our buisness from their software and I was hopeful it would help make our processes more efficient. But ultimately, it ended up being a big waste of my time and money.

I like their dashboard options which are a visual way to see how my business is doing.
Cons
Customer Service - they made me feel bad for needing help and made it difficult to get the help I needed. In the beginning, whenever I had a question, they wanted me to take a screen recording explaining every question I had. Meanwhile I had paid extra for an upgraded customer service otpion.
Onboarding - should have warned me that it would take a VERY long time to set every little detail up. Should have listened better to my needs.
Sales - should have assessed my needs better and not sold me on 3 platforms, as I couldn't even get one to work for me.

It may be good for companies that have an IT Support Person who can build the system for them. It is not good for anyone running a small business, as they likely don't have the time or knowledge to build an entire platform, let alone 2 or 3.
They did not offer the type of help I needed and I was misled to believe they would. I am very disappointed.
This is our source of truth for all contact information. We worked with so many different people and organizations at different capacities so this helps make sure we all have the more accurate information on the contact and the organization.

I think it's decent for housing company and contact information and setting up notifications for prospecting. The pipelines are great for managing projects, but for us, they take a LOT of work to get them customized
We used Insightly not only to catalogue our client bases, but also potential clients as well. It was a great to differentiate between the two and make notes on specific things about said PR's and client. Tracking these two important type of people was helpful. It also a very good marketing system.

We were using it for the CRM and marketing feature. It helped that we didn't have to manually add data into our marketing platform separately from our CRM and everything was connected. Plus we didn't have a good solution for client management before Insightly other than excel worksheets.

We use Insightly to keep track of our customers and their pipelines to know where we are in our sales. It helps us stay organized, it gives us a map to follow, and it gives us tasks to follow to keep up with our customers. I think it is most useful for our sales reps who have a lot of customers that they have a hard time keeping track of. Overall, it solves a lot of our organization and customer database problems.
