Use Cases and Deployment Scope

We mainly use Coupa for the procurement of indirect materials and services. The purchases/invoices will be checked for compliance with corporate requirements (e.g., are the Correct Cost elements used, does it exceed the given budget, etc.) and then sent for approval as appropriate, based on the organization's setup and the dollar amount of the requested item.

Pros

Visibility and control over Spendings.
Compliance to corporate standards.
Routing for approval.

Cons

Handling of multiple currencies and conversion.
Support for another language - not just display, but also data entry (e.g., Vendor name in a foreign language).
Lots of integration work with SAP to make it work.

Likelihood to Recommend

Suitable: Simple indirect procurement. Low cost; short cycle implementation. Less Suitable: Complex procurement scenario requiring serious vendor collaboration. End-to-end integration. Direct Material Procurement, especially when planning, quality inspection, and other miscellaneous activities are involved, requires handling various special statuses and updates to meet industry- or country-specific requirements.

We use Coupa for creating PO's, processing invoices and expense reports. The software is used mainly for the procurement team to create PO's and by our A/P team to process invoices as well as other departments in the company to document purchases with company cards and have them approved by all relevant parties.

Pros

Invoice processing automation
Flexibility in PO format
Many ways in allowing for processing invoices with discrepancies.

Cons

Full invoice processing automation with AI components to be able to learn how to process invoices with discrepancies
Hard to be able to modify to company needs.
Found some issues with non-standard data integrations

Likelihood to Recommend

Coupa is great for standard out of the box invoice auto processing. When it comes to more complicated scenarios with non-standard or blanket PO's it seems to fall short.

Our customers use Coupa and we submit invoices through Coupa.

Pros

In my experience with the latest version of Coupa the UI is a disaster

Cons

With one particular customer I have had about 40 emails to be accepted as a vendor. With other customers before Coupa became horrendous I had no problems. As an existing Coupa user why do I have to create a new profile?
I have been accepted as a user 3 times then a day later Coupa wants the same form filled again and again.
Help is only on a chat line. You cannot speak to anyone and in my opinion they are not helpful. Their suggstions have gotten me nowhere. They refer me to talk with my customer to straighten out the problem. My cusotmer doesn't have a clue.
I'm considering not to accept purchase orders that require invoicing through Coupa.

I use Coupa Supplier Portal to receive purchase orders from customers and also to submit our company's invoices. There are different scenarios that seem confusing at times regarding connecting with customers. For instance, my company has a Coupa Profile that we connect with customers through. Sometimes when a new customer wants us to use Coupa to send invoices, we will receive an email invitation to set up a new Coupa user profile. There is usually only a single link to do so and not a link that says, "Already have an account - log in here." By clicking the link, it just takes you to create a new account, which I don't even care to do. Once I'm logged in to Coupa, and a customer has sent one of these invitations, I can't seem to see them through the establish connection link. This confuses me because I'm not sure if the customer should be sending me a connection request or if I should request a connection.

Pros

It's easy to create customer invoices against purchase orders.

Cons

Please make merging user accounts more streamlined.
Please give existing users the option to log in to their account when a new customer requests to connect directly in the email invitation.

I am new to customer-supplier portals in my career. I use several different ones in my current role, including Ariba and Tipalti. To be honest, I don't really enjoy the user experience of any of them. I can see how larger companies may benefit from their services but for my current role submitting invoices on them and filling out vendor information requests seems somewhat clunky to me. When I'm in Coupa, the easiest, most non-clunky process for me is when I'm successfully connected with a customer who has successfully created their purchase order and I can easily upload my invoice to said PO. To me, emailing customer invoices directly to the customer from our invoicing system seems like the easier route of delivering an invoice. I suppose it is helpful and reassuring to know that an invoice has been successfully uploaded into a company's system rather than waiting to find out if your emailed invoice made it to the correct department for payment processing.

Coupa couldn't be an easier expense reporting system. I especially love that it allows me to create a recurring expense and set it to a date, in my example monthly, and it pops up every month ready to be filled in. That saves a lot of time and the hassle of having to create a new expense report every month for a known, recurring charge. I have used a lot of systems for expense reporting and none are better than Coupa.

Pros

Simple user interface
Easy to upload supporting documents
Recurring expense reports are the best thing about it.

Cons

I would like to see an image of my uploaded documents. I see the success message but always have to check it after to make sure it is the right one. A preview of that image would help. One that I can click on and view.

Likelihood to Recommend

It works well for an organization of any size. The create and submit process is simple with a defined approval process that you can customize. It probably does not make sense for very small businesses. It may be easier to do it all manually if you have few users and rarely submit an expense report.

Very glad to be using Coupa and user adoption is immediate.

SIM (supplier information management) on boarding
Better staffing to support scoping new business.

Coupa is especially well suited for businesses using indirect spend as a model. Coupa is especially customizable when it comes to the approval Req and invoice process. [I feel] Coupa contracts basic is almost a worthless product since it creates so much double effort to log new areas and co tracts under one order.

Coupa was implemented about two years ago to replace a dated homegrown expense system companywide. It was chosen for its integration abilities and ease of use, leading to very generous adoption around the company. The ease of use and beautiful UI/UX make the expensing portion easy for all employees and take a lot of the guesswork out of the process.

Likelihood to Recommend

Coupa is a great tool and I would recommend it to anyone looking at it. I enjoy that it can be customized and has smart functions; I like the additional modules that allow for scaling and growth and that the user interface is great. It's an easy tool for novices to use and guides you through the process as you go. I don't have anything bad to say.

Coupa is used by Uber to onboard new suppliers, and connect them to our payment system to get paid out for the work we have hired the company to do. It addresses the ability of Uber to use one vendor across many business units to track who Uber teams use the suppliers and to pay them out in a uniform manner.

Pros

A consistent format is helpful because if you learn the tool once, then you should be set for long term success.
Straightforward with some of the fields (not all), but for some pieces of work. It is easy enough due to the direct nature of the tool.

Cons

Many parts of Coupa are unclear, especially in the "how to create a PO," as the wording is confusing.
Adding a vendor, sometimes the directions pop up immediately but not always creating a poor user experience.

Likelihood to Recommend

I do think Coupa is well suited for a company the size of Uber, but I wish it were easier to navigate all parts and pieces of the tool. I think it works for Uber again because it can be a uniform tool across many teams, but I am not sure this would be ideal for smaller companies as I think it creates a lot of churn with issues many employees have with the tool.

It is being used across the whole organization for procurement and expenses. We replaced Concur with Coupa and it's supposed to solve invoicing issues with our suppliers. It is also a faster and more efficient way to submit orders for supplies and control our costs associated with that. All employees use it from corporate to technicians.

Pros

Efficient with placing orders.
Ease of placing orders through the app.

Cons

Cannot use the app for expense reports. Only good for taking pictures of receipts.
App is not user friendly for expense report creation.

Likelihood to Recommend

Coupa does very well on the procurement side of things. You can set up approval processes that allow you to approve or decline orders by your employees. Everyone gets a set limit and when you go over that limit, it needs to be approved. This has helped with controlling our costs. The expense side is very confusing at first and takes time to get used to. There are more steps involved in creating reports and if you don't have proper training, it can be frustrating.
