Use Cases and Deployment Scope

I am using Atlassian Confluence for our shared technical team knowledge space and supporting projects with relevant documents in an organized way. It helps address problems of supporting internal knowledge transfer and supporting the intake and development of business initiatives.

Pros

  • Knowledge management. Storage and maintenance of documents in a shared secure space.
  • Permissions management. Controlling permissions and access of internal users who need custom access.
  • Help and support. Supporting onboarding new users and visual guidance of how to use the tool.

Cons

  • Interface customization. Building a custom interface and custom menu options would help for some of our teams looking for custom modules to use within the tool.
  • Supporting multi lingual. Allowing for multiple languages to be used in the same workspace would help support global users.
  • Tool integrations. Integrating directly with other visualization tools has been challenging and doesn't work smoothly from the get go.

Likelihood to Recommend

Atlassian Confluence works great for mid size and enterprise teams looking for a solution for knowledge management, building an organized workspace and sharing digital notes across teams. Its easy to onboard and learn for technical and non technical users.

Atlassian Confluence is the perfect place for documentation, it has our component docs, strategy docs to whatever is needed at an organization level. From my QA perspective it has our test strategy, test plan, the development and deployment plans. The component guides, the training plan and programs, references to achievements and others

Atlassian Confluence is used as a documentation platform for the different projects that are being worked on by each of the employees in the company. This contains the important project details that needs to be communicated to project members. This also serves as an editing platform as this has version control and is very user-friendly with the option to have parallel editing.

Atlassian Confluence is best-suited for big teams. This is a very good collaboration tool that can be accessed by different team members. This also helps communication and documentation to avoid mishaps and miscommunication between teams and members. In my experience, our team consists of 10 members and we can all document different information from different projects at the same time.

Atlassian Confluence is used within the organisation to store all sorts of documentation - requirements, process documentation, team charts, timelines, different spaces. It is a very versatile tool and can be used by multiple users (internally and client side). Its also an easy tool to grasp and so very user friendly in that sense.

Cons

  • I think adding comments can be a pain in Atlassian Confluence because they're hidden
  • Sometimes organising where pages fit in within Atlassian Confluence
  • Adding images and files or creating tables within Atlassian Confluence can be a bit of a pain

Atlassian Confluence is defnitely suited for the use of a collaboration tool between the client and interally. There's a variety of documentation that can be added to Atlassian Confluence and it's also quite easy to organise it in a way that works for all. We've used it to store design documentation, requirements documentation or general documentation also.

We use it for internal documentation. The business problems the product addresses is sharing documentation between teams. It's so easy to publish documentation in Atlassian Confluence. It's a good thing that also comes with a big risk: duplicated information. That being said, we should have something to manage all published content.

  • Reviewing content without the need of so many addons.

Likelihood to Recommend

I would recommend Atlassian Confluence for companies that want to have internal documentation and minimum governance processes to ensure documentation is useful and doesn't have a lot of duplicated and non-updated content. I wouldn't recommend Atlassian Confluence for companies with a low budget since this product might be a little costly (especially with add-ons).

Atlassian Confluence : the must have for knowledge management

We use Atlassian Confluence as a wiki for our company. A lot of articles, informations, knowledge are available in the tool such as : incident management process, project infos, architecture decision records. It's quite useful to keep a track of static knowledge.

  • the integration with others tool like JIRA or MIRO
  • the design with the dark mode is great

Cons

  • The search is totally not good enough
  • integration with google spreadsheet should be improved
  • The management of knowledge outdated should be improved

Likelihood to Recommend

If the need is capitalizing the knowledge of the company, Atlassian Confluence is probably the good tool. The way a wiki is working is very efficient to connect knowledge together. But the search function is not enough efficient. I spend too much time trying to find a specific content. At the end, I manage a lot of bookmarks to Atlassian Confluence pages to make my life easier because of the search not working well enough.

Our company uses Confluence to solve several problems mostly related to transparent, accessible communication. It's used for several use cases including project management, meeting notes, research repositories, product development (via Jira boards), async work, and support team resources. Each team uses Confluence in their own unique ways due to the flexibility and customization the platform provides. My team uses it for meeting notes, FAQs, SOPs, and a research repository to keep track of historical research studies and avoid duplicative work.

Pros

  • Customization of pages + information hierarchy
  • Balancing accessibility with security via SSO log in and enterprise level user licensing
  • Jira boards for product development and project management

Cons

  • Merging environments between companies - we've had M&As affecting our company and access between legacy company versions has been a huge pain point
  • Search functionality needs serious improvement especially given the mass of information that lives in it
  • Integration with SharePoint - when linking to SharePoint documents, if you move a file within the sharepoint, it breaks the link in Confluence

Likelihood to Recommend

Confluence is a great tool to document and make work visible. It's pretty scalable meaning small teams can use it and as your team/company grows, it still serves useful during that growth. Confluence has pretty robust functionality, so it can be a good tool to solve multiple challenges within an organization that could prevent teams with smaller budgets from having to contract / purchase licenses from multiple vendors.

Use Cases and Deployment Scope

Atlassian Confluence helps us to organize operations, project planning, and important company knowledge within one central repository. This product helps us by keep everything we need as a Product Development team in one spot. The flexible formatting of pages as well as the introduction of whiteboards makes this even easier for us. We use whiteboards primarily to story map larger projects, and we absolutely love the feature to convert sticky notes or other posts on the whiteboard into stories/tickets on our Jira board. The seamless connection between Jira and Confluence also makes Confluence the ideal spot for me as a Product Manager to plan future sprints for our Development team and lay out stories from Jira within the sprint plan.

Pros

Cons

  • Whiteboards are still a little janky to use, hard to switch between the cursor and the hand, etc.
  • When editing a page in Atlassian Confluence with tickets from Jira, it does not show the amount of story points per ticket on hover. You have to publish the page/go out of editing mode to see the # of story points which has been a pain point during sprint planning
  • It would be great to create custom templates for pages by user so we can add those templates to pages when we want to use them, ie for a Sprint Plan

Likelihood to Recommend

Atlassian Confluence is great for documentation, planning, and communication across teams. I use this platform exclusively for all my sprint planning as a Product Manager/Product Owner, and it is incredibly easy to share these plans with my team and link them back to our project in Jira as well. I use Atlassian Confluence for pretty much every facet of my role, so I am not sure where it is less appropriate to use it.

A lot of our documentation for both the products and internal way of working is setup there. We've at a certain point made it the place where business logic was defined so developers could access it.

Pros

  • Ties directly with Jira
  • You can reference someone in the organization
  • Has some nice formating on the warnings and other widgets

Cons

  • Layout of the pages are a bit restrictive and they could look nicer
  • Working with other colleagues at the same time
  • Having more dynamic spaces that are more seemless integrated

Likelihood to Recommend

If you're connected with Atlassian and you are working on things that don't change too much. It helps to keep track of documents.

As a researcher, I mainly use Atlassian Confluence as a repository for all the current and past research reports that I can access to and share with other team members. In my team's space, I create pages to summarize the research findings and recommendations, while also attaching other related resources and files. I also leverage other teams' spaces and pages to refer to their resources, such as current and past product roadmaps, or if I want to learn about a specific team's work in more detail.

Cons

  • UI Design is very simplistic and basic could make use of more visually interesting colour choices, layout choices, etc.
  • Under the 'Content' menu, it defaults to having a landing page for all L1 and L2 category pages. Meaning as long as the broader content category has a sub-category, it still creates a separate landing page. In my team's case, this often creates blank pages, as we only fill out the page at the lowest sub-category (L3).
  • Hyperlinks are traditionally shown as blue, however, this results into very monotonously blue pages in cases where a lot of information is being linked.

Atlassian Confluence is a great tool for housing important information and resources across the organization, as it's very easy to search and find content across different teams and departments. The search function is mostly very accurate and the additional tagging with keywords also helps in the search experience. It's also good at tagging other team members, which triggers an automated email to them. Atlassian Confluence also has an extensive template library for all kinds of purposes like project management, etc., which saves time overall.
